July 22, 2008 

Dave Farmer started of the meeting by talking about fundraisers.  Please use www.goodsearch.com as your search engine.  This earns money for the Music Parents.  The Legion dinner will be on Sunday, July 27th.  Each band member has 8 tickets to sell.  Each band member also needs to bring a dessert.  The next Wendy's fundraiser will be on Wednesday, August 27th.  15% of the proceeds go to the Music Parents.  We will try to do one once a month and will need help cleaning off the tables.  There may be a possible car wash to help pay for the new flags.  There also may be a possible hotdog sale @ Buy Low. 

Host a Japanese student and the band will get $250.00.  The host family will also get $125.00 stipend for expenses. 

Christine Bunch spoke about the Guard accessories needed.  Besides needing new flags, the guard also needs new poles w/ weights.  Approximate cost for flags & poles will be $2000.00.  The Guard already knows the 1st song on the 1st day of band camp. 

Need to find replacements for the following positions for next year.

Chaperones - will need head chaperone & volunteers
Uniforms -  Vickie Van Camp & Debbie Miller's last year
Concessions - Debbie will only be doing the football concessions, need someone to take care of the basketball concessions.
Treasurer - Debbie Miller's last year
Vice President - Joanie Cotton's last year
Pit Crew - Ben Parsley needs volunteers this year as well.

Donna Hutchinson talked about her PR work.  Please e-mail her with PR info to get into the paper.  Wants to write and update column after each contest. This is her last year too.

Theresa Schmitt & Barbara Parsley are co-coordinators for our contest.  They will be calling all parents about working at our home contest.  This is Theresa's last year and will need to replace her as co-coordinator for next year.  Kim Mosby is handling the program booklets this year.  Call her for any booklet & advertising ideas. (Theresa Schmitt's last year.) 

T-shirt sales - make checks to South Spencer Music Parents (SSMP), only adult sizes, $15.00 each. 

Make all band camp fees payable to South Spencer High School. 

Let's make this a great year - so please volunteer today.

June 24, 2008

The meeting was called to order by Dave Farmer.  There were 16 people in attendance.  Band camp was the main topic of discussion.  Band camp will be held July 21st thru 25th and July 28th thru August 1st.

 There was a correction to the Secretary’s report for last month.   There are 74 students signed up for marching band instead of 72 (includes 17 guard members).

 James Powell will be working with the percussion section the first week of band camp then he will be leaving to work with Perry Central.  Eric Kendall will be working with percussion the second week of band camp.

 Jana Grose and Debbie Miller are in charge of the lunches during band camp and are in need of volunteers to help serve and clean up.  A list of items needed for band camp will be sent home.  Jana and Debbie work very hard during band camp so help them out as much as you can.

 Theresa Schmitt sent out newsletters to all band members.  This was very helpful for new band members and it answered a lot questions for them.  Great job, Theresa.

 The search engine for the music parents is up and running.  Go to Goodsearch.com and use this for all your web searches.  We have already made 27 cents as of this meeting.  Make this your home page so you won’t forget to use it.

 The American Legion fundraiser will be July 27th.  There will be a handout available at the Tailgate party to let you know what food item to donate per band section.

 The guard will be getting new uniforms this year.  Everyone is measured and the order is ready to be made.  It should take about 6-8 weeks to get the order in.  The cost will be approximately $1,300.00 for the tops only.  More pants will also need to be ordered at a cost of approximately $10.00 a pair.

 The Tailgate party will be July 22nd.  There will be an abundance of information available for band parents at the party for the upcoming marching season.  Food will be donated by the officers.  Bring a lawn chair and a calendar and have fun meeting the other parents and officers.

 Kim Mosby is researching rewards for getting the kids involved in selling ads for the program booklets.  If you have any ideas please contact Kim.

 Dave Farmer will be contacting Larry Hurm to see if he has scheduled anything for the car wash.  Larry was called out of town.

 Mr. Little has the remainder of the music for the show.  It can be picked up on June 25th from 8 am to 10 am.  There will also be a percussion practice this day from 1-3 pm.  There is also guard practice scheduled July 10th & 17th.

 The next Wendy’s fundraiser will be on July 29th from 4-8 pm.  A few volunteers are needed to help clean off tables.  Dave Farmer will contact Donna Haynes to find out what percentage from the fundraiser we get.  Dave will also ask Donna about the possibility of having a fundraiser the night of our band contest.

 Our next meeting will be July 22, 2008 during the Tailgate party.

May 27, 2008 

There were 14 people in attendance for the May 27th meeting.  There were several things discussed, mainly the upcoming band camp in July.  Band camp will be held July 21st thru 25th and 28th thru the 1st of August. 

Jana Grose and Debbie Miller are in charge of the lunches during the weeks of band camp.  They are in need of volunteers to help serve and clean up.  They will also be sending home a list of items needed for the lunches.  Please help out by either serving or sending in food. 

Theresa Schmitt will be sending out a newsletter sometime in June.  This newsletter is very helpful and can answer questions the new band parents may have.  If there are still questions please ask someone! 

Theresa is also in the process of setting up a search engine that will also work as a fundraiser for the Music Parents.   Thanks Theresa!

There are a few other fundraisers in the works as well.  Dave Farmer is checking with Wendy’s to see if we can have another Wendy’s night.  He will report at the next meeting. There will be a Legion dinner on Sunday, July 27th.  Please plan on attending! 

Dave is also checking on having a couple of car washes this summer.

Mr. Little reported that so far we have 72 signed up for marching band.  There are 16 guard girls.  He also stated that we need to decide on flags.  We may purchase new ones or see about using flags from another school.

Mr. Little also said we will have to pay $1,000 to Ed Kearns for the music arrangement sometime next week.  The drill will cost approximately $2800 of which we pay ½ and the school board pays ½.  Mr. Little also stated that Mr. Powell will be leaving us. He has accepted a position at Perry Central.

There will not be an ice cream social this year due to Freshman orientation.  We will have our parents tailgate party on Tuesday, July 22nd.   This is an opportunity for the new band parents to meet everyone and ask questions.

Kim Mosby will be taking over the program booklets for our home band contest in October.  This will be our 20th contest!

Our next meeting will be on June 24th at 7:00pm in the high school band room.

April 29, 2008

There were 12 people in attendance for the April 29th meeting.  The meeting was held at the SSMS band room.  Mr. Little wanted the parents to see all of the new musical equipment that the school board purchased for the band.

Good news, Mr. Little reported that the music price for the marching band will be lower than expected by $250 to $300! The drill will be about the same.  SSMP pays for half of the drill and the school board pays for the other half.

Amy Cox has asked for help with the drama club reception which will take place after the choral program on May 5th.  She has requested help to supply the refreshments.

The high school band program will be held on May 12th and the middle school program on May 15th.  The high school band and chorus will perform at graduation on Saturday, May 24th.

Richard Mills attended the meeting to discuss building a ramp for the trailer.  Richard said there will be no cost to the SSMP.  He is going to raise the money.  He said the ramp will be approximately 4 ½ feet wide and 12 ft. long. It will be made of 14 gauge steel and there will be a remote to unfold it and let it down.  He said it would also operate manually in case of mechanical failure.  Richard stated that Jimmy Wink of J & S Bulk will supply the truck for Richard to drive and the school corporation will pay for the fuel. Please be sure to thank Jimmy for allowing us to use his trucks!  Richard also stated that the trailer will probably need new tires (or used ones) next summer.  The cost for new tires would be approximately $1500.

Theresa Schmitt is checking out another fund raiser.  There is a search engine that offers 1 cent for each search that the computer operator performs.  There is no cost to the organization.  She is going to research this further.

In other news, new officers will be taking over at the next meeting.  David Farmer will be replacing Lisa Turner as President.  (Thanks Lisa for all of your hard work!!)  Cathy Beasley will replace Joanie Cotton in the secretary position.  Thanks Dave and Cathy!  Please be willing to help them when asked.

Don’t forget there will be pre-summer rehearsal for the marching band on May 27th and 28th.  Mr. Little will be handing out the music at this time.

The next meeting will be held on Tuesday, May 27th at 7:00 at the SSHS.

April 8, 2008

There were 8 in attendance for the April meeting. We need parents to fill several office positions.  (Those being President, Vice-President and Secretary)  If anyone is interested please let one of our current officers know. 

We did receive the money from our fundraiser at Wendy’s we had in October.  We received approximately $130.00.  It was discussed to have another one sometime soon.

 

There are several important dates coming up for the music department.  The first is the organizational band contest at Reitz on April 18th.   The Choral contest is on April 19th at Reitz as well.  There is a beginner band meeting on April 28th in the auditorium. The choral department will have their concert on May 5th.  Amy Cox has asked for help with a reception for the people involved with the play after the choral concert on May 5th.  The SSHS spring concert will be on May 12th and the SSMS concert on May 15th.  The final band and choral date for the school year will be at graduation on May 23rd.

 

Richard Mills spoke to Mike Little about fixing up a ramp for the band trailer.  It will be approximately 12 foot long and powered with a power pack.  Richard told Mr. Little there will be no money charged to the band boosters for this ramp.  He will contact “retired” band parents to collect donations to help pay for the supplies.

 

Melissa Troutman (Taylor Harmon’s mother) owns a consignment shop in Owensboro and offered to help raise money by donating a percentage of used clothes and prom dresses from the items received from South Spencer.  It was decided to maybe try this next year.  Thanks Melissa!

 

Mr. Little received an inquiry about the old uniforms.  As of the meeting date nothing definite was known.  Mr. Little wanted to thank those that helped separate and distribute the cookie dough orders.

 

So far there have been 65 blue sheets turned in to do marching band!  There were 57 last year.

 

The next meeting will be on April 29th at the middle school band room.  Mr. Little wants us to see the new items he has purchased.

February 26, 2008 

The attendance for the February meeting was a total of 8 adults.  The first topic discussed was the Madrigal Dinner held back in December.  It was well attended and Mr. Malone is looking forward to having it again this December.

Band camp will begin on July 21st and last for 2 weeks.  It was discussed having a Legion Dinner the weekend between. 

Mr. Little asked when we could start paying Mr. Powell and Christine Bunch to work with the percussion and guard.  It was decided to begin the week before spring break.

Mr. Little wants to do Firebird again this year.  It was performed several years ago and was well liked.  Mr. Little did state that there should not be a copyright fee which will save us approximately $500 to $600!

The drama department will perform South Pacific on March 13th through the 15th.  The contest for the concert band will be on April 18th or 19th.  Mr. Little has signed up to perform on Friday the 18th.  The time will be announced later.

Debbie Miller stated that the volunteer turnout to help with the basketball games were great!  She said several people signed up this year.  Debbie also asked for the okay to purchase a new pizza oven.  One of ours died and needs to be replaced.  It was agreed to purchase one from Farm Boy for approximately $250.

The rib sale was brought up again.  There were several dates discussed and it was decided to table the decision for now.

We will order new guard uniforms this year.  If we order by June 1st we should receive them by marching season.

The next meeting will be on April 8th at the SSMS band room.  Mr. Little would like for the music parents to check out some of the new equipment purchased there.

November 27, 2007 

There were 14 people attending the November meeting.  The rib sale scheduled for December 1st was cancelled due to the Madrigal Dinner being the following weekend.  Mr. Malone attended the meeting to explain and ask for help for the Madrigal Dinner that will be held on December 7th and 8th.  The ticket sales are low.  They will be selling tickets at the courthouse the weekend of the Christmas parade. 

 The music parents owe Amy Cox, play director, $250.00 for the mixer that she purchased.  There is need for help in the concession stand for the home boys and girls’ basketball games.  If you can help at one of the games please give Theresa Schmitt a call.  Lisa Turner will check on the money from Wendy’s we earned for our benefit night.  She will also check on possibly having another one.

 Lisa Turner will check on prices from Buehler’s for ribs.  It is a possibility that we will reschedule the rib sale sometime in the spring. The band will be selling cookie dough in February or March.

 The Christmas parade will be on December 1st at 2:00 pm.  The marching band will wear uniforms and the middle school band members will wear jeans and a red shirt.   

 The Christmas program will be on Tuesday, December 18th at 7:00 at the high school.  The band and the choirs will perform.  The middle school band concert will be on Tuesday, December 11th at 6:30.

 Our next meeting will be on Tuesday, Jan. 22nd, 2008 at 7:00 in the band room.

October 30, 2007

The October meeting was brought to order with 14 in attendance.  The first order of business was to discuss our home band contest.  We had another successful contest this year with approximately $7,000.00 profit. 

 Debbie Miller announced that we did agree to purchase a tarp to cover the gym floor in case of a rain event.  We received the tarp the week of the home contest.

 Lisa Turner announced that the Wendy’s night we had on October 16th netted the music parents approximately $130.00.  She will have the exact figures at next month’s meeting.  It was decided to try this again in the near future.

 The band photos taken at Reitz are now in.  Lisa Turner will distribute them to those that ordered at the band reception.

 The band reception for the 2007 marching band is scheduled for Wednesday, November 7th at 6:30 in the Multi-purpose room of the high school. 

 It was voted and agreed upon to pay the following for helping with the 2007 marching season:  Richard Mills ~ $150.00 for pulling the trailer, Chuck Cotton ~ gift certificate to Cracker Barrel for $25.00,  Christina Bunch (guard) ~ $180.00, Krystia Standifer (guard) ~ $84.00, James Powell (percussion)  & Krystia Standifer ~ bonus of $100 each.

 There will be a rib sale on December 1st during the Christmas parade.  We will begin selling tickets around November 15th.  Lisa Turner will talk to Rich Broeker at Buy Low about ordering baby back ribs.  She will also talk to Holiday Foods about ordering chickens.

 Amy Cox, on behalf of the Drama Dept., has asked us to help with payment of a new mixer which will cost around $500.00.  It was voted on to pay ½ of the cost  ($250) and if we do well on the rib sale possibly pay the other half.

 December 1st will be the Christmas parade and rib sale.  The 7th and 8th graders will wear red sweatshirts, jeans and a Santa hat and the rest of the band will wear their new uniforms.

 The next meeting will be on Tuesday, November 27th at 7:00pm.

September 25, 2007

The September meeting was held with 15 people in attendance.  In old business, Mr. Little announced that not all band camp fees have been turned in yet. 

We will have a Wendy’s night sometime in October.  Lisa Turner will contact Wendy’s to set the date and notify parents via email.

There will be no new guard uniforms this year.  The order was placed in July and as of last week they did not have the material in to make the uniforms so we cancelled the order. Hopefully we will be able to get new uniforms next season.

Lisa Turner will check into getting the pictures that were taken at the Reitz band contest.  She will let us know what she finds out.

In new business it was voted to once again take out a full page ad in the yearbook recognizing our seniors.  It will cost approximately $125.00.

Senior night will be held at halftime at the home football game on October 12th.  We have 8 seniors this year in marching band.

October 15th will be the cheese and sausage band fundraiser.  Look for the forms to come home.  Also for fundraising we will once again presale ribs to be cooked and picked up the day of the Christmas parade on December 1st.  We need workers to help out that day!

District competition will be this Saturday in Jasper.  We will be leaving around 9:30am.

As for our home contest, things are falling into place.  The contest will begin with the singing of the National Anthem at 5:50 pm and the bands begin at 6:00 pm

The next meeting will be on Tuesday, October 30th in the band room at 7:00pm.

August 21, 2007

The August meeting had approximately 13 in attendance.  There were several things discussed.

The ice cream social was not as good as we had anticipated.  Most seemed to think it was very unorganized.  We are hoping to do better next year.

Mr. Little will call to check on the guard uniforms which were ordered several weeks ago.

Wendy’s is still offering to help us out by donating a percentage of the sales on a designated evening.  Lisa Turner will check into having it possibly on September 10th or 24th due to the home JV games.

If band camp fees and shoes are not paid by now they need to be paid as soon as possible.  Payment is due by Friday August 31st.

There is a need for parents to help fill up the water jug and get cups for the Wednesday evening performances.  The pit also needs help tearing down and storing the equipment after practice on Wednesdays.

Lisa Turner asked how many would be interested in buying group photos of the band. She had a photographer contact her saying that he would be taking pictures after the Reitz performance.  It was decided to send out emails to see how many were interested.

The school corporation will be paying for the gas used this year to travel to contests. The semi will need to fill up at the bus garage after the trip.

Theresa Schmitt said there were not very many personal ads for the booklets this year.  The deadline for these ads is September 8th.  She would also like to find someone interested in taking over the home band contest.  If anyone is interested please contact Theresa and “shadow” her this year.

Several things were discussed about the home contest.  Barbara Parsley has a marquee we can use and Lisa Turner will have Mike check on lights and fencing from AEP.  

The home band contest will be October 6th.  EVERYONE please plan on working at the contest that day!

The next meeting is set for September 25th.

July 24, 2007 

The tailgate party/meeting was well attended with approximately 43 parents present.  Lisa Turner informed us that the generator has finally been sold for $600.00.

 The band uniforms are in and the guard uniforms will be ordered soon.  The cost of the guard uniforms will be approx. $1200 to $1500.  Black shoes will be ordered for the band by Mr. Little and the students need to get black socks.

 President Lisa Turner explained to the new band parents the purpose of the Music Parents.  She stated that it costs approx. $30,000 per year to do marching band.  Some of the costs include: music arrangement, drill, percussion, copyright fees, instructional assistants for guard and percussion, plaques for senior night, food for band camp, judges for contest, uniforms and much more.

 Debbie Miller stated that the Legion Dinner went well.  The other fundraisers coming up are the ice cream social, home band contest and rib sale.  The ice cream social will be on August 9th.  We will also be joining the social with the athletic department to have a “meet the teams” night.  EVERYONE is needed to work at the home contest on October 6, 2007!

 Theresa Schmitt told us that letters for support have been sent out to the businesses.  Theresa also stated that anyone wishing to put an ad in the home contest booklet needs to get it to her by September 8th.  

 Wendy’s has offered to do a donation evening and we decided to start that after school has started back up.

 The next meeting will be on Tuesday, August 28, 2007 at 7:00 pm in the high school band room.

June 26, 2007

There were 11 people in attendance.

Reviewed the minutes from the last meeting - no changes.

Reviewed the treasurer's report - general consensus that the treasurer can change the CD accounts to more profitable types of accounts.  T. Schmitt pointed out that we need to add to our contest "rainy day" fund this year. We need at least $6000 in that account.

Lisa Turner stated that the generator has been advertised for sale in the Journal Democrat.

The web site is up - lots of information there - be sure to check it out.

Wendy's benefit night will be in the fall.

Guard Uniforms - Vickie VanCamp and Debbie Miller are working on options (where to purchase material, Debbie's mother will make them).  Vickie is also working on the gloves (one hand black and the other white).

Legion Dinner - July 22nd, 11 to 1.  Everyone is expected to bring a dessert or cut up fruit.  Since the Legion has raised their cost, the group elected to raise our ticket price to $8.

Payment for Band Camp - $25 due on May 25th, July 20th and August 24th.
Shoes are $28, which is due the 1st week of Band Camp.
Other fees - Instrument rental - $25 and Stick fee - $25

Tailgate party for the Band Parents is July 24th at 6:30.

August 9th will be "Meet the Teams" and our Ice cream Social night. The Athletic Boosters will be selling food and soda.  Cathy Beasley suggested that we sell sugar-free ice cream too.

Candy-gram idea suggested by Ms. Nevins was tabled for the night - need someone to administer it.

Japanese student hosting - we may be asked to do this again this August.

Mike Little had several issues;
- we will borrow flags from Jasper again this year

- suggested that the band parents treat the students after night rehearsals during band camp. Parents present liked the idea, may divide up into three sections.

- T-shirts by Rick Mayne again this year, color will be light blue

- students will wear black (basketball type) shorts with the t-shirts, not sure of the cost at this point but approximately $18 to be paid by students.  Mr. Little will order them, so that everyone has the same shorts.

May 22, 2007

There were only 7 people in attendance at the meeting.   Several things were discussed concerning the upcoming marching band season.

Band camp will be held July 16th thru the 27th.   We will have a legion dinner on July 22nd, the Sunday between band camp weeks. Everyone is asked to bring some type of dessert or cut up fruit. It will be held from 11 to 1 and everyone is encouraged to help out for an hour or two.

There will be a tailgate party for all band parents on Tuesday, July 24th at 6:30 while the band practices.  Everyone bring your lawn chairs!

The ice cream social will be held on Thursday August 9th.  It was discussed having a “meet the teams” night which would include the band and the fall athletes.  This will be discussed further at the next meeting.

Our new band uniforms are in!   We hope to get new guard uniforms for the upcoming season.  Mr. Little and Megan Day are checking into these uniforms. 

Wendy’s has offered to have a benefit night for us but we decided to wait until school starts back up to take the offer.  Everyone felt with school out this summer we would not do as well.

The generator was brought up again.  It was decided to try to sell it by putting an ad in the Thrifty Nickel and the Lincolnland.  Lisa Turner will take care of this.

Theresa Schmitt is starting up a new website for the music department.  The website will cost $118.00 for 2 years.  It can be viewed by going to www.ssrebelmusic.org   Please thank Theresa for all her hard work getting this website up and going!

This year the regional competition will be held at ISU in Terre Haute instead of Jeffersonville. 

The next meeting will be held Tuesday, June 26th in the band room at the high school.

April 24, 2007
 

The meeting was well attended with 24 adults in attendance.

 

The rib sale scheduled for March 28th was cancelled due to lack of participation.  We hope to try again during the Christmas parade scheduled for December 1st.

 

It was brought up that Wendy’s was willing to have a benefit night to help us out.  Lisa Turner said she would check into this.

 

Band camp will be the weeks of July 16th and July 23rd.  The camp will be Monday through Friday with lunch served each day.

 

The new band uniforms are ready for pickup!  Mr. Little is planning on going to pick them up on or about May 10th in Greenville, Illinois.  We will move the old uniforms to the SSMS to make room for the new uniforms.

 

It was announced that the marching band will perform Heart and Voice again this year. 

 

There will be election of officers at the next meeting on May 22nd.

February 27, 2007

The meeting was brought to order with 11 present. There were several things discussed.   

The concession stand for football and basketball made $3,126.13 in profit for this year. It was also voted on to pay for ½ of the band picture to put on the wall in the hall.  We will pay $350.00.  It was also stated that the insurance and judges for the home contest were also paid.  

April 14th will be the organizational contest in Evansville .  April 28th will be our next rib sale.  There are several people checking to see where we will have the rib sale. We will once again pre-sell baby back and regular ribs as well as have a few chickens to purchase.

Jana Grose will check with the Civic Center to see if we can borrow coolers again.  It was discussed to have prizes for the best sellers.  This will be discussed again next month.  

Tonya Wolf from Curren Miller Benefit Auctions attended the meeting to discuss the possibility of having an auction in the future.  They take care of most of the auction.  They will meet with us beforehand to teach us how to get gifts donated and what type of gifts we need to get.  They charge $2500 for a consultation fee and 10% service fee on each item sold.  This idea will be voted on at a later date. She claimed we could make between $15,000 and $18,000 off of an auction. 

Wendy’s restaurant also told us they would be willing to have a benefit night there.  This will be discussed at the next meeting.   

Theresa Schmitt is going to search for a website to be used by the South Spencer Music Parents.  It was voted on to spend between $60 and $100 per year for the website. 

It was voted on pay the percussion and guard instructors to begin practices on Wednesday evenings again.  It will cost us approximately $910 to pay for both. 

Due to spring break the next meeting will be held on Tuesday, March 20th at 7:00 p.m.

January 23,2007

The January meeting was brought to order with 10 people present. There were several things discussed.  

Debbie Miller reported that Patton Music has donated 5% of their sales to the South Spencer Music Parents.  As of the end of November we have received approximately $142.00! 

We have the money to pay off the new band uniforms.  Mr. Little would like to get new guard uniforms as well.  He is hoping to sell the old uniforms and buy the guard uniforms with that money.  All present agreed.  Mr. Little is also going to check with Jasper to see about renting flags from them again this year. 

The rib sale went very well in December.  It was discussed whether or not to try it again this time doing it on our own.  Mr. Combs asked us to do this at a softball or baseball game.  Lisa Turner will check on game schedules and report back.

The idea of selling the generator that was bought several years ago and never used was mentioned.  It was agreed that we should sell it.  We will need to decide the best way to list it.  

The Japanese exchange students now all have host families.  The homes that are hosting them will decide which organization to donate their monies to.  

The New York trip is fast approaching.  There have been a few cancellations.  Someone will come in sometime in early April to discuss the trip and the rules and regulations with those planning on going.  

The pastry fundraiser needs to be turned in on Jan. 31st.  We will make a 43% profit from sales.  Proceeds will go towards the New York trip. 

Mrs. Ayer has asked that we provide food for the Academic Bowl to be held at SSHS on March 6th.  There will be approximately 160 people here for the competition.  We voted to do this. 

It was voted upon to reimburse Mr. Malone for part of his fees incurred at a conference in Indianapolis.  We agreed to pay ½ of the hotel and ½ of the registration fee for a total of $156.50. 

It was also voted upon to reimburse Mr. Cason for his entire registration fee of $105.00.  He did not incur any hotel fees since he stayed with friends. 

We also voted to pay for Mr. Cason’s Chicago conference. His registration fee and hotel and parking for 3 nights and 5 days for a total of $595.89 was agreed upon to be paid for. 

Ken Schmitt stated that anytime we are needed to pay for conferences, etc. that we should have advance notice.  It was decided not to pay for these trips without advance notice and voting beforehand. 

Mr. Little is hoping to get started on guard and drum line before spring break begins this year.  He is hoping to have Megan Dey and Mr. Powell return to work with us again this year. 

Debbie Miller stated that our insurance is due in February and will cost around $480.00. 

It was suggested that we look into the possibility of having an auction.  Reitz and Tell City along with several other bands have them and can raise anywhere from $10,000 to $30,000 from this type of event.  Mr. Cason and Mr. Little are gong to check into this and report back. 

Selling flowers before Mother’s Day was suggested as a possible fundraiser.  Mr. Cason will look into this idea and report back. 

The next meeting will be on February 27th at 7:00 P.M.

November 28, 2006

The November meeting was brought to order by President Lisa Turner.  There were only 7 parents in attendance.  

Debbie Miller stated that she needed help working in the concession stand at the home basketball games for the girls and boys games.  The concession stand is a good money maker for the Music Parents. 

We were reminded that Grandy’s is still offering to donate a portion of the proceeds on the 2nd Tuesday of each month.  The next date will be December 12th.   

We will have a rib sale on Saturday, December 2nd from 12-4.  This is also the day of the Christmas parade.  We need coolers to put the ribs in once they are cooked.  Jana Grose will check into borrowing coolers from the Grandview Civic Association.  We also need workers to help cook, wrap and sell the ribs.  

It was brought up again about needing band parents to help host the Japanese exchange students in March.  So far they have not had anyone step forward.  

Debbie Miller and Mr. Little stated that the New York trip money is being turned in on time by most students.  

There will not be a December meeting.  The next meeting will be on Tuesday, January 23, 2007 in the band room at 7 p.m.

October 23, 2006

The October meeting was brought to order at 7:00 p.m. by President Lisa Turner. Mr. Little and Lisa Turner started the meeting by thanking everyone who helped at our home band contest.  Once again we had a very successful contest.  

Grandy’s has agreed to help us with a fundraiser on the 2nd Tuesday of each month.  They will donate a percentage of their sales from 5 to 8 on those Tuesdays to the Athletic Boosters and the Music Parents.   

Our band website has not been working the past few weeks.  It was brought up to check into getting a new website but was tabled until the next meeting.   

The marching band reception is scheduled for November 7, 2006 in the multipurpose room at the high school.  The reception will begin at 7 p.m.

Those with 3 years in marching band will receive a letter and those with more will receive a year pin.  We have 5 seniors that will be honored that evening as well. 

Mr. Little asked that we send a check for $130.00 to Jasper High School for the use of their flags this year.  We will be getting new uniforms for the next marching season.  The Music parents will pay half of the cost and the school board will pay the other half.  November 16th will be the fitting day for the new uniforms.

It was voted on that we put the monies needed for the new uniforms into an account for our half of the payment.   

It was decided to pay Robert Linne, the announcer at our home contest, $50.00 for his time.  It was also voted on to pay $450.00 to H & H to pay their bill as well as to reimburse Mr. Little $435.30 for fixing the amplifier.  Lakewood Country Club will be sent a check for $50.00 to help cover the cost of fuel for the golf carts they let us borrow.   

As for a new fundraiser we agreed to have David Vaals cook up some BBQ ribs and sell them.  We will take orders for these and sell them on December 2, 2006 at the Christmas parade for $16.00 a slab.  A portion of the money we make from the sale of the ribs will go towards the New York trip. People can pick up their ribs between the hours of 12 and 4 on December 2nd.

December 2, 2006 will be Rockport’s annual Christmas parade.  This will be the last time the band will be in their “old” uniforms! 

Mr. Little told us he is going to try to sell the uniforms.  He said he will probably list them on the internet.  

The Christmas concert will be on December 19th. The next meeting will be on Tuesday, November 28, 2006 in the band room. The meeting was adjourned at 8:40 p.m.

September 26, 2006

The September meeting was brought to order at 7:00pm by President Lisa Turner.  There were 21 parents in attendance.

The minutes and the treasurer's report were presented and approved.  It was mentioned that Mr. Malone presented a bill for $350.00 for 14 dresses.  It was also discussed as to taking out an ad in the yearbook.  It was decided to take out a full page ad for $185.00 as we have done in the past.

Grandy's has agreed to donate 10% of the total amount sold on Tuesday evening from 5 to 8 p.m. to the music parents and the athletic boosters as long as they (Grandy's) make more $500.00 or more.

The main topic of conversation was the upcoming band contest at South Spencer. So far we have 17 bands coming on October 7th.  Robert Linne will be doing the announcing this year.  The Rebel Singers will start us out by singing the Star Spangled Banner.  We will begin set up at 8:00a.m. on Saturday, October 7th.  Most workers should arrive around 2:00p.m.  There will be a meeting next Wednesday night to discuss the home contest and to put together programs.  Anyone wishing to help should meet in the commons area when band practice starts.

District will be held this Saturday in Jasper.  We are scheduled to perform at 11:52a.m.

The next meeting will be held on Monday, October 23rd due to conflicting schedules on the 24th.

August 22, 2006

Lisa Turner brought the meeting to order at 7:00 pm. There were 20 in attendance.  The minutes and the treasurer’s report were accepted as is.  

We made approximately $800.00 from the 3 car washes that we had. The ice cream social was also a success. 

The music parents received a thank you card from Jesse Small for the $500.00 scholarship he received.  Jesse is majoring in music at Western Kentucky University . 

J&S will pay for gas for the semi for the short distance marching band competitions.  The school board will pay the cost of the gas for the long distance contests. 

Debbie Miller also brought up the band letters for the students who have been in marching band for 3 years.  We need a count as to how many to order. 

Mr. Malone asked the parents to purchase 17 dresses at the cost of $25.00 each from Heritage Hills for the rebel singers.  A vote was taken and approved to pay $425.00 for the dresses.  

Several things were brought up as to fundraisers we could try.  It was discussed to collect used cell phones and ink cartridges and mail them in for money.  We will look into this.  Grandy’s will also donate a percentage of the money they make on a designated evening. 

October 7th is our band contest.  We need everyone to help!  So far we have 10 bands for sure planning on competing. We still need workers.  Please contact Theresa Schmitt for a job assignment. 

The drama club will be putting on ‘A Christmas Carol’ on November 17th, 18th, and 19th.  They would appreciate any help on building the sets. 

The New York trip was discussed.  The first payment of $70.00 was due on August 25th. The next payment will be due around November 14th.   Taylor Tours is in charge of arranging the trip.   

The next meeting will be on September 26th at 7:00pm in the high school band room.  The meeting was adjourned at 8:00pm.

July 25, 2006

The July meeting was brought to order at 7:00 p.m. by president, Lisa Turner.  This meeting was also the tailgate party for the music parents.  There were approximately 30 parents in attendance.  

The minutes of the June meeting were presented and approved. The treasurer’s report showed a balance of $1768.33. This increase was due to a successful legion dinner in July! 

Lisa informed the attending parents that not only are the music parents for the marching band but also for all parts of the music department, including concert, marching, drama department, and choral.  All parents are invited to attend. 

Lisa explained how the music parents raised money.  In the past we have had car washes, legion dinners, concession stand for football & basketball, ice cream social and our major money maker is our home marching band contest in October. The money raised is spent on marching drill, music, new uniforms, judges for the contest, etc. 

Debbie Miller passed out several handouts explaining different things the marching band students need to know.  One of which was how to dress at the contests. No jewelry or fingernail polish is allowed.  Also included were other rules the kids need to follow.   

Theresa Schmitt spoke about our home contest, which will be on Oct. 7th.  She said there are several jobs that need to be filled for our contest.  For a list of these jobs, please go to our website and click on SS Band Contest.  If you are interested please speak to Theresa Schmitt or Barbara Parsley as they are our contest coordinators.  If anyone is interested in helping with the pit crew contact Ben Parsley. 

Libby Small is in charge of concession stand workers.  If you haven’t signed up to help at the games give Libby a call. 

Band practices will be on Wednesday nights once school starts.  The band will perform at the ice cream social and at all home football games. 

Theresa also reported that we have another uniform sponsor.  Patton Music will be a sponsor this year. 

Our next meeting will be on Tuesday, August 22nd in the high school band room. The meeting was adjourned at 7:50 p.m.

June 27, 2006

The June meeting of the South Spencer Music parents was brought to order at 7:00 p.m. by President Lisa Turner.  Twelve parents and Mr. Little were in attendance.

Minutes from the May meeting were presented and approved.  The treasurer’s report showed a balance of $1,494.62.

Lisa Turner thanked Debbie Miller and Theresa Schmitt for the band parent letters that were sent out.  It was a very informative letter for the parents.

On Saturday, June 24, several band members and parents helped with a car wash fundraiser at the fire station in Rockport.  They were able to raise $252 in 3 hours.  The next car wash is scheduled for July 29 from 9 a.m.-12.

There will be a Legion Dinner on July 16 from 11-1.  Lisa Turner will need a rough estimate by July 10 on the number of tickets sold.  Desserts need to be there by 10:30 and workers will be needed from 10:30 – 1:30.

Band Camp is coming up.  Jana Grose is in charge of the lunches during those two weeks.  She stated she will be needing volunteers to help fix, serve, and clean up Monday – Thursday of each week.  She had sign-up sheets available.  Also needed will be watermelon, cantaloupe, cucumbers, tomatoes, and cookies.  Where to buy the food was discussed, and Debbie Miller is checking further into the matter.

A tailgate party for the band parents will be on Tuesday, July 25 at 6:30 p.m.  Hamburgers, hotdogs, and chips will be served.

The ice cream social will be held on Thursday, August 10 from 6:30 – 8:00 with the band performance at approximately 7:00.

T-shirt prices were discussed and it was decided that the prices this year will be $15 each.  Jana Grose made a motion for the raise in price, and Becky Mallory seconded the motion.  T-shirts will be sold at the Legion dinner and during Band Camp.  All orders must be turned in by July 31.

Theresa Schmitt announced that she has been receiving advertising money for our home contest.  There are currently two businesses that are uniform sponsors.  Those two businesses are Dillingham Heating & Air and Silgan Closures.  More information concerning the contest will be discussed at the tailgate party on July 25. (Also our next meeting!)

May 23, 2006 

The May meeting of the South Spencer Music parents was conducted informally due to the absence of a president and vice-president.   

Minutes from the April meeting were presented and approved.  Debbie Miller presented the treasurer’s report which showed a balance of $349.51; with the addition of two deposits, a donation of $160 and the money collected at the MS concert, our balance is $677.62.  There is currently $12,314.94 in the uniform fund. 

Mr. Little reported that he is fairly pleased with the sectionals so far; however, 12 people have dropped out from the 71 reported last month.  As of now there are 10 guard members, 13 percussion, 36 winds, and one field commander.

Mr. Little also reported that the music is all done.  He is trying to find a guard instructor and is not sure about the percussion instructor as the board doesn’t want to pay for these instructors beyond camp is they cannot be in attendance at contests.  There will be no uniform payment on our part until next year. The school board will pay its part in December.  The last time we got uniforms, we picked them up to save on the cost of shipping; this may be a consideration this time. Mr. Little also reported that ISSMA has made a ruling change concerning judges, and there will be two judges on the field during competition.  He is concerned that this will hurt small bands.

Mr. Little needs $500 to pay the remainder of what is owed Ed Kearns.  After some discussion, Theresa Schmitt moved that we pay him. This was seconded by Joanie Cotton.  All present agreed.

Theresa Schmitt presented the letters that she is sending for requests for ads for the booklet for the band show.  She has included information about sponsoring a uniform ($350).  There was some discussion about how to recognize people/organizations that donate money for uniforms besides advertising in the show book.  Debbie Miller moved that we put these names on a sign that will be displayed at the band concession stand by the time of our show through next season.  Dionne Russ seconded the motion; all agreed.  These letters will be mailed this week.

Sandy Rust presented a letter that she has been working on to send to S.S.H.S. alumni who participated in the music and drama programs while attending school here.  She has worded the letter so that it doesn’t apply strictly to band, and no specific amounts are requested.  She will target the graduates of South Spencer from 1980-90 and plans to send them out by the end of the summer.  Any remittances will be sent to her in care of SSHS. 

Fund-raisers were discussed.  Lisa Turner will check with Owen Wells to see if we can schedule a Legion dinner from 11:00 -1:00 on July 16, with July 30 being an alternate date.  If the date is July 16, Debbie Miller said that tickets can be mailed to band members so that we can get a count the second day of the pre-camp.  Three car washes are planned for June 24, July 29 (or 15 depending on the dinner), and Aug. 12. This last date could also be announced at the football jamboree if we host it this year.  Melana Hurm will check with Jim Ahl to see if we could use the fire station as we did last summer.  The car washes will only be in the morning from 9-12.  It was decided to have someone be in charge of each car wash. Larry Hurm will be in charge of the one in June, Debbie Miller, July; and Vickie Van Camp, August 12.  The ice cream social will be Thursday, August 10. 

Then title of this year’s show will be “Dusk to Dawn.”  The shirts will be black with some silver and royal blue on them. The present guard uniforms will be used one more year. 

A final matter that was discussed was officers.  The officers for 2006-2007 will be Lisa Turner, president; Sandy Rust, vice-president; Joanie Cotton, secretary; Fred Miller, treasurer; Debbie Miller, PR/Concessions; and Theresa Schmitt and Barbara Parsley, contest co-chairs. 

There being no other business, the meeting was declared adjourned.  The next meeting will be June 27 at 7:00 P.M. in the band room.

April 25, 2006

The April meeting of the South Spencer Music parents was called to order by Vice-president Cindy Sarver in the absence of the president, Larry Hurm.  Mr. Little was also in attendance.

Minutes from the February meeting were presented and approved.  Debbie Miller presented the treasurer’s report which showed a balance of $1110.51.  There is currently $12,314.94 in the uniform fund. 

 The focus of this meeting was primarily on the upcoming expenses and the fact that we do not have much in our account to meet these expenditures. 

 Mr. Little shared the upcoming expenditures for this fall’s marching band.  To pay for the drum and guard instructor for this week through the end of May, it will be $720.00.  Ed Kearns is arranging our music, which will cost $1600 total, part of which has been paid, but $600 is due tomorrow; the balance will be due in July.  The copyright fees will be approximately $600.  There will also be our payment of half the drill cost.   Mr. Little asked Mr. Combs for $2500 in fall 2005 to pay for music and repair.  The school board will pay for the band camp help, approximately $5200, through the marching season.

 Mr. Little also reported that he had visited Forest Park High School to meet with the director there. Their band operates on a $51,000 budget.  One of their best fundraisers is their flea market to which businesses donate items.  They also do a money raffle through the football and basketball seasons. Mr. Little shared these as potential ideas for fund-raising.

  Jesse Small is the only senior who has applied for the Music Parents Scholarship, which will be $500.

 The new uniforms will cost $258 each. The school corporation will pay one half of the cost this fall.  We have almost our half of the cost.  The present guard uniforms will be used one more year. 

 Theresa Schmitt reported that she is getting ready to mail her solicitations for ads for the show program and wondered about asking if businesses would like to donate towards the cost of the uniforms.  There was discussion about offering a choice in our request; we could print a page listing businesses that donated to the uniform fund.  Sandy Rust also discussed the possibility of mailing requests to former band members requesting donations; she will look into this.

 Mr. Little reported that Rick Garrett of the Richland Community Association has asked if we needed help. He has contacted him but has not received a response.

 It was decided that we would ask for free-will donations at the music concerts at both SSHS and SSMS.   Following the middle school concert on May 16, we will have a brief meeting in the band room for the parents of next year’s 8th graders who will be in the marching band. 

 Another matter that was discussed was officers.  No one knows whether Larry is willing to continue as president.  Sandy Rust might be willing to be vice-president.  The remaining officers are as follows:  secretary, Lisa Turner; treasurer, Fred Miller; Public Relations/Concessions, Debbie Miller; and contest co-chairs, Theresa Schmitt and Barbara Parsley.

 Prior to the end of the meeting, Dennis Hutchinson moved that we pay Ed Kearns the $600. Sandy Rust seconded the motion. All were in favor.  Cindy Sarver donated $160 to pay the guard and percussion instructors for the next week.

February 28, 2006 

The February meeting of the South Spencer Music parents was called to order by Secretary Lisa Turner, acting in the absence of the president and vice-president.  President Larry Hurm, however, did arrive later.  Mr. Cason also attended the meeting since Mr. Little had another engagement. 

Minutes from the November meeting were presented and approved.  Debbie Miller presented the treasurer’s report which showed a balance of $1596.03.  There is currently $12,302.81 in the uniform fund.   

Old Business:  Debbie updated the group on expenditures made since our last meeting. These included payment of Mr. Cason’s lodging and registration for his seminar in December and the lodging of the Honors Band in January.  The insurance has been paid. Also, the judges for the fall contest have been secured, but Debbie reminded the group that there will be additional expenses regarding the judges in the fall. 

New Business:  Mr. Cason reported that 24 new students have signed up for marching band next year; this includes several incoming 8th graders.  There may be a few more.  He is unsure of the guard numbers.  Mr. Cason also reported that Andy will not be back to help with the guard. But James Powell will be assisting the percussion. He and Mr. Little hope that the percussion and guard practices on Wednesday evenings will be starting soon. 

Mr. Cason then presented a list of upcoming expenditures, a part of which will need to be paid in May.  This includes the music, estimated at $1500; permission fees, estimated at $400-600 and half of the drill, which may be cost $2500-3000, of which we pay half.  We are looking at expenditures of nearly $3300 plus.   

This news caused much discussion because the group does not have this amount in its treasury nor are there any planned fund raisers.  After some discussion, a suggestion was made that the music parents seek free-will donations at the spring band and choral program. Debbie Miller moved to do this; the motion was seconded by Tina Nong.  This, of course, would be upon the approval of Mr. Little and Mr. Combs.  There is simply a desire to let others who have children involved in the music programs be come aware of our plight. 

Mr. Cason also announced that two chaperones per bus and someone to drive the trailer is needed for the middle school contest on March 18. 

The concert band organizational contest is Friday, April 7 at Reitz High School.  Someone may be needed to drive the trailer.  The spring concert is May 7 at 2 P.M., and the middle school concert is May 16 at 7 P.M.

Mr. Little and Mr. Cason are talking with Mr. Malone about a combined band and choral trip in either the spring or fall of 2007.  No definite plans are prepared yet. 

The new uniform design is nearly completed.  Fifty percent will be paid by the corporation.  It is planned to take pictures of a few students in the uniforms and post these on the website and also use the pictures in advertising locally, once permission is granted. 

Debbie Miller reported that the Music Parents have been asked to run the concessions for the academic bowl that will be held at the high school on March 9. This will entail our usual menu, but we will be setting up outside of the kitchen so that we will not have to have a member of the kitchen staff present.  It was suggested that we also sell other items such as cookies, fruit, etc.  Debbie will speak to Mrs. Ayer to see if we could also sell additional fare.  Teresa Schmidt volunteered to take charge of this project and will send requests to music parents once she hears from Debbie regarding the menu.  Workers will be needed from 2:30-3:00 until 8:30 P.M.   

Mr. Cason reported that a middle school jazz band will begin this Friday, March 3, after school until 4:00 P.M.  

Any decisions regarding the requested expenditures were tabled until the next meeting which will be on Tuesday, March 21, 2006, due to spring break the following week.

November 29, 2005

 The November meeting of the South Spencer Music parents was called to order by Vice-President Cindy Sarver. She welcomed the many middle school music parents who were in attendance.  Mr. Little was unable to attend due to a church meeting; Mr. Cason attended in his place.

Minutes from the October meeting were presented and approved.  Debbie Miller presented the treasurer’s report which showed a balance of $1715.94.  There is $12,291.08 in the uniform fund.  She also reported that the Legion dinner held earlier this month was not successful.

Old Business:  The Christmas parade is this coming Saturday at 2:00 P.M. Band members will meet at Rockport Elementary with their uniforms and instruments. Since there is early dismissal this Friday, Vickie Van Camp will be at the high school for uniform pick-up at 12:30.

The high school music concert will be December 15 at 7:30 P.M., and the middle school concert will be December 20 at 7:00 P.M.

New Business:  It was announced that the high school band is sponsoring a frozen food sale December 5-9 to raise funds for music and other expenditures.

Mr. Little has requested that the Music Parents provide the pep band with pizza passes/coupons for the December 13 game. 

A bill of $300 from the Sartores was presented. This was for extra pictures that were framed and matted for the senior marching band members. A motion to pay the bill was made by Vickie Van Camp and was seconded by Fred Miller.  The motion passed. 

Mr. Cason showed the new uniform model and also explained some ideas for both a middle school and high school jazz band.  He reported that the solo and ensemble contest is February 4 at the University of Evansville. Mr. Cason also requested the $75 fee for his attendance at the Midwest Band Clinic in Chicago.  His hotel bill will be presented later.  A motion was made by Lisa Turner and seconded by Theresa Schmitt that his request be granted.  The motion passed. 

In other business, since there were so many middle school parents in attendance, Cindy explained many of the expenditures incurred by organization throughout the year.  Our many fund raisers help to, among other things, pay for the band drill, extra instructors, and music, care for the trailer, buy uniforms and equipment, and sponsor a scholarship for seniors hoping to study music in college.  Cindy also explained the criteria for receiving a band letter; a student must have completed his or her third full year in marching band.

There being no further business, Mrs. Johnson moved to adjourn the meeting; Debbie Miller seconded the motion. All agreed.  The next meeting will be held on January 31, 2006, at 7:00 P.M. in the high school band room.

October 25, 2005

The October meeting of the South Spencer Music parents was called to order by Vice-President Cindy Sarver.

Minutes from September were unavailable.

Debbie Miller gave the Treasurer's Report.  Highlights from the report were;

Contest Expenses     7,170.48
Contest Profit       $10,273.52
Most of the profit was used for:
SSMS - Instrument Purchase  $1000.00
20% of Profit to Uniform Fund  2080.00
Pay off the Drums                     4269.63

Donna Sturgeon made a motion that the Treasurer's Report be accepted as is.  Joanie Cotton seconded the motion.  Motion carried.

Mr. Little is currently preparing a budget for the SSHS Administration. The bottom line is that the budget is approximately $30,000 for a year.  The funds for this will come from the School Corporation, Fundraisers and from the Music Parents.

Band Contest thank you notes were sent out to more than 50 businesses and individuals.  Theresa Schmitt sent a thank you note to both of the newspapers to be published in the editorial sections.

Stipend for Mr. Powell & Mr. Jackson was discuss.  Last year we gave them each $100.  Mr. Little pointed out that they had attended some of the Saturday contests.  Debbie Miller made the motion that we give them each $150 this year.  Donna Sturgeon seconded the motion.  Motion carried.

Marching Band Reception/Awards will be on 8th at 7pm in the commons/auditorium.

  • Sr. medallions have been ordered, cheaper this year because of the amount of medallions ordered
  • Cindy Sarver is putting together two gift bags worth a minimum of $50 each for the "workers" drawing. For each time a student or his/her parents worked the student gets one chance.
  • There are 18 (10 this year & 8 from last year) trophies to be given to the Seniors.  6 pictures of the  Marching Rebel will be added to this collection so that each senior will get either a trophy or a picture.
  • Sartore Photography donated several very nice pictures of the seniors to be raffled at the reception.
  • Every band student with three years of marching participation will receive a Letter.
  • Certificates will be given to all marching band students.
  • Sartore Photography will be selling the CD's again, $5 each.
  • Refreshments - cake and canned drinks

A locking mechanism will be installed on the freezer in the gym concession.  Lost 2 1/2 cases of pizza last week.  Bueller's helped out last Friday by giving us 10% off the sale price of the "emergency" replacement pizzas.

Debbie Miller will need help cleaning out the concession stands.  Please contact her if you can help.

Mr. Little & Mr. Cason are throwing a pizza party for the 6th grade Middle School band kids because they sold the most in the last fundraiser.  The pizza will be bought from the Music Parents.

Please help with the SSHS play refreshment area.  The musical is "Best of Broadway" and is scheduled for Nov 3, 4, & 5 at 7PM.  The drama club was very helpful at our contest - they parked cars all evening. 

Mr. Little invited the middle school parents to this meeting (via telling the students), however none showed up.  Next meeting a note will be sent home.  Libby Small volunteered to send out a postcard to all middle school band parents.

The High School Band fundraiser starts next Tuesday - Nov 1st.

Debbie Miller will check with the American Legion about doing a fundraiser dinner on Nov 20th.  Students should work and bring one dessert.  Tickets will be handed out as soon as possible.

Tim Sartore made a motion to close since there was no other business. Debbie Miller seconded it, motion carried.

The next meeting will be November 29th in the HS band room.

August 30, 2005

The August meeting of the South Spencer Music parents was called to order by President Larry Hurm. 

Minutes from the May meeting were passed around and approved.  Debbie Miller presented the treasurer’s report which showed a balance of $2084.32.  There was a profit of $350 on the T-shirts.  We have received ads for the book and trophy sponsors in the amount of $1750.  Those figures have already been applied to expenses, etc. 

New Business:  Larry reported that he has spoken to the school corporation about paying for fuel for band trips.  J&S will foot the bill for short trips, and the school corporation will reimburse J&S for long trips.  Larry will call Richard Mills to let him know.

Mr. Little displayed a new uniform sample. The new uniforms will cost $298 each.  The corporation will pay for half of the bill, and the total will be $29,800.00.  The school corporation would like to write their check next fall.  We have $10,200.80 in our uniform fund.

Mr. Little also requested that the music parents help pay for a baritone sax, tenor sax, and drum set for the middle school band.  He plans to set $1000 aside from the middle school fund-raiser and would like to contribute $1000 from our contest. He feels the corporation would pick up the rest. This request caused some discussion.  Last year’s contest had a profit of $8000, but if it rains this year, we will not have a good profit.  After a great deal of discussion, Dennis Hutchinson moved to commit to $500 now and add another $500 if the contest profit exceeds $5000.  David Grose seconded the motion.  Motion carried.

Cindy Sarver reported that we will be selling the leftover band cards, which are still good for four months for $5.00.

Larry Hurm reported that David Grose donated pretzels which were left from the Grandview 4-H Club’s fair booth.

Debbie Miller asked Mr. Little to show the band letters that members will be able to earn their third year of high school band.

Band Invitational Updates:
It’s just over 30 days away.
Theresa Schmitt has sent letter to area businesses requesting donations. She is also handling the programs

Admission and program costs were discussed. Last year’s admission was $4 and programs were $3.  Some present felt that we should charge for parking.  After some discussion, Dennis Hutchinson made the motion to increase admission to $5 and keep the program at $3.  Libby Small seconded the motion, which passed.

Mr. Little has ordered the trophies for contest from Plaques Plus.

Cindy Sarver made a plea for cardboard because all that we had stored at the LEC was thrown away.  We need 4x8 sheets.  Temple Island will donate it, but it can be picked up only one day a wee.  Larry Hurm offered his trailer and said that it could be left in his trailer. Parents are needed on a 2-day notice to help get this.  Cindy also reported that Mike Raibly will donate a port-a-potty; three more are needed at a cost of $50 each.  Culligan in Evansville has delivered drinking cups.

We will provide hotel rooms for the six judges.

The fire department will probably park the busses; they will vote in a couple of weeks. Doctor Wood will do his usual job. The choir will sing the National Anthem.  Dennis Hutchinson will donate the tapes needed for judging.

Another golf cart is needed. Moningers will donate theirs, but they will drive.  No kids may drive the golf carts.

The band kids need to be here at 3:00 P.M. the day of contest and plan on staying to help with clean-up.

Other Business:

Teresa Sartore will be taking pictures of the band for the program this Friday before the game.  She is also making a CD of the season like she did last year.

Teresa Schroeder will be painting a new Rebel Man on our building.

It was requested that money for T-shirts be refunded for the parents of a daughter who quit band.  Cindy Sarver moved that we do this; Libby Small seconded it and all agreed.

There being no other business, Jana Grose moved for adjournment; Debbie Miller seconded it.  All agreed.

The next meeting will be held on September 27 in the high school band room.

May 31, 2005

The May meeting of the South Spencer Music Parents was called to order by Vice-President Larry Hurm.

No minutes from the previous meeting were available due to the arrival of the Lawrence's new baby.

Summer fund-raisers were discussed and plans finalized.  These include a dinner at the American Legion from 11-1 on July 17.  Tickets will be distributed during the pre-camp practices dates.

Tentatively there is a car wash scheduled for July 23 at two locations: the Rockport Fire Department from 8-11, and Freedom Bank from 12-3.  Larry Hurm will check with Vickie VanCamp to finalize these plans.

Lisa Turner will put these items in the local community calendar.

Mike Little shared that our money is tight right now.  The $65 band camp fee goes toward the food for camp and cleaning of uniforms.  He feels that we should be able to cover the cost of music and drill through the band account.

Larry Hurm suggested building a storage barn or small building so that we quit moving things around from place to another.

Theresa Schmitt reported that she has sent 100 letters to area businesses requesting sponsorship or ads for our contest in October.  Richard Mills suggested offering J&S Transport a free add since they do so much for the band trailer.  Richard also mentioned that the generator is ready for the trailer and that he hopes that some company like AEP would be willing to donate lights for the trailer.

Theresa also mentioned setting up a web site for music parents.  Fred Miller is helping with that.

There being no other business, Theresa Schmitt moved for adjournment, Cindy Sarver seconded the motion, and all agreed.

The next meeting will be during an evening band practice during band camp.
